Arnor AI

Give your team back hours every week — on the workflows they already run.

We build custom AI workflows for assisted living operators — incident reports, billing follow-ups, compliance prep, move-ins, family updates — so your teams get hours back every week, alongside the systems you already use.

Who we work with

Arnor AI is built for senior living operators running two or more communities.

Our work is strongest when:

  • Your teams are doing the same documentation, billing, or compliance work across every site
  • Each new community adds admin work — but adding headcount to handle it isn't always realistic
  • You want to standardize operations without forcing staff onto a new platform

What we build

Each engagement starts with one workflow.

Here are the ones we focus on.

Incident Reporting

Today

Caregivers spend end-of-shift time hand-writing incident reports; EDs spend weekly hours reviewing, editing, and filing them.

With Arnor

Voice dictation on the iPad captures the incident in minutes. The system drafts the report in legally defensible language, flags state reportability, and routes it to the Executive Director for review and approval.

AR Recovery & Billing Reconciliation

Today

Your Business Office Manager spends hours every week drafting the same follow-up emails, summarizing aging, and reconciling what hit the bank against what was billed.

With Arnor

The drafts are already done. The aging summary lands in their inbox. Reconciliation runs overnight. Your BOM reviews, approves, and sends.

Compliance & Survey Prep

Today

Surveys, audits, and corporate reviews pull from a binder of documentation — personnel files, training logs, in-service hours, drill records, background-check renewals, resident agreements, inspection records — most of which sits in paper files, shared drives, and someone's memory. Gaps surface the week of the visit.

With Arnor

A continuous register of the compliance work that lives outside your EHR. Staff training and certifications, drill records, resident-agreement updates, inspection records — tracked across communities, with expiring items flagged in daily operations rather than the week before the survey.

Move-In Paperwork

Today

Every move-in triggers three to four hours of paperwork — care plans, physician orders, service agreements — plus the time your team spends chasing signatures, missing forms, and physician follow-ups.

With Arnor

More than form auto-fill. The system tracks every pending move-in like a project manager — what's been collected, what's still outstanding, and who needs to do what — and sends follow-ups so admissions don't stall. Your team reviews, edits, and signs.

Family Communication

Today

Weekly family updates are either skipped or take your care team hours to write.

With Arnor

We turn your team's notes from the week into a clean weekly update. Your care team edits, approves, and sends in minutes.

How we're different

Most AI tools for senior living are products you have to buy, roll out, and migrate onto. We're not.

We don't sell a product. We build custom AI workflows around the processes your team already runs — incident reports, billing, compliance, move-ins, family updates.

Your systems stay.

We work alongside the EHR, billing, and care platforms you already use — not in place of them.

Your team keeps the judgment.

Where the process is well-defined, the work runs end-to-end. Where decisions need a human — clinical, regulatory, family-facing — your staff reviews and approves.

One workflow at a time.

Proven at one community first, then scaled when you're ready.

Your engagement is guaranteed.

Phase 1 measures your team's baseline and commits to a specific hours-back target in writing. If we don't hit at least 80% of that target within 30 days of deployment, we keep refining at no additional cost until we do.

How we engage

Every engagement follows the same shape.

The specifics adapt to the workflow and what your team actually needs.

Scoping & Architecture

We map the workflow, design how the AI-assisted version fits alongside what your team already does, and define the accuracy checks the system has to pass before any output leaves it. You leave with a build plan you own, whether you proceed with us or not.

Build & Pilot

We build the system and deploy it at one community, running in parallel with your current process. Your staff is trained alongside the build.

Ongoing Partnership

Once the system is live, we stay on as your operations partner — keeping the system running, refining it based on how your team uses it, and training staff on the workflow as your team grows and changes.

About Arnor AI

Arnor AI builds custom AI workflows for assisted living operators.

We started because operators kept telling us the same thing: their teams were spending hours every week on the same documentation, billing, and compliance work — and the load grew with every new community, faster than headcount could.

So we built the alternative. We take the repetitive work off your team's plate — handling it end-to-end where the process is well-defined, keeping your staff in the loop where judgment matters.

Common questions

Are we too early for AI?
No — teams that haven't adopted AI yet are the best place to start. We begin with one workflow your team already does manually, take the repetitive parts off their plate, and keep your staff in the loop where the work requires judgment.
Will this replace our existing systems?
No. We don't replace your EHR, billing, or care-management platform. We remove the manual steps around them — data entry, follow-up drafting, reconciliation, and report generation.
Will our staff actually use it?
We spend as much time on training and change management as we do on the build. Systems fit how your team already works — voice on an iPad, email approvals, minimal new logins.
What happens if it doesn't work?
Every build runs in parallel with your current process during the pilot. If the AI workflow doesn't beat the baseline, you keep your existing process. Every engagement carries a 90-day material-defect warranty.
What's your guarantee?
Phase 1 includes a baseline measurement of your team's current weekly hours on the workflow. Phase 2 commits to a specific target reduction in writing — calibrated to your operations, not a marketing slogan. If we don't hit at least 80% of that target within 30 days of deployment, we keep refining at no additional cost until we do.
How long does it take?
Scoping is about two weeks. Build and pilot is about two weeks. You're running a live workflow roughly six weeks from kickoff — not six months.
